What to Expect: Step by Step

At Simple Fractal, many of our potential customers are excited to use RPA to level up their business but still have questions about how our process works. As seasoned veterans in automation, you can rely on our experience and expertise to deliver problem-solution fit. We will guide you through your RPA journey, earn your trust, and add the process automation toolkit to your mindset. That's why we have done repeat business with all of our RPA clients.

In this post, we’ll walk through each step you can expect to go through as part of a typical RPA engagement with Simple Fractal. We have designed the process to make the most out of your time: so for the steps that need your input, we’ve included the amount of time required on your part.

  1. Learn the Ropes (30 minutes)

    While RPA is spreading fast, many don’t know how it works. In our first meeting, we’ll explain what RPA is and why it’s such a game changer. We’ll also answer any questions you have.

  2. Identify Use Cases (60 minutes)

    Next, we craft a short list of candidate use cases for automation. This is a collaborative process to identify the most significant business pains that if solved would move the needle for your business. Based on our experience we can suggest a range of common problem areas – for example, revenue cycle management, workflow management, human resources, compliance, reporting, and many more. With an accurate understanding of your pressing problems, we design efficient solutions to solve them.

  3. Share Your Process (60-90 minutes)

    During the process discovery stage, we work together to document your current process in detail, whether through a recorded screen share call, sharing SoP documents, or providing detailed screenshots and examples. The goal is to align on what we want our bot to do.

  4. Open the Hood

    In the technical discovery phase, it’s on our team to explore the technical requirements of the use case. This stage has two goals:

    • Ensure there are no red flags or elements that are beyond our capabilities. So far, we’ve never faced a problem that we couldn’t solve, but we will always be upfront if we foresee any risks.

    • Figure out the most efficient solution and estimate the effort it will take to engineer and maintain it.

  5. Review Our Proposal (60 minutes)

    After we’ve done our due diligence, we present a proposal with a fixed upfront fee and a fixed monthly maintenance fee, so you know exactly how much it’s going to cost. Other RPA providers may provide one piece of the solution, like customizable tools you have to use yourself, which leaves uncertainty about the time, cost, and risk involved for your team. With Simple Fractal, you know exactly what you’re going to get.

  6. Confirm the Plan

    At this point, it’s up to you to decide whether you want to proceed with the creation of a custom software bot. By this point, most of our customers recognize Simple Fractal’s ability to provide scalable solutions that increase productivity, reduce costs, improve employee satisfaction, and minimize turnover, among many other benefits.

  7. Receive Your Bot (30-60 minutes)

    All that remains is for our team to deliver your new bot and for you to approve the work. In contrast to transactional RPA vendors who hand you your bot and then leave you to figure out the rest, we commit to managing the successful ongoing operation of your bot. This means you don’t have to worry that a change in workflow or third-party software will render your bot obsolete. In fact, many of our bots have been running continuously for years.
